Please read these Terms & Conditions carefully before confirming any booking with GJ Phoenix Travel and Leisure (OPC) Pvt Ltd. By making a payment, confirming a booking or using our travel services, the passenger/client acknowledges and accepts these Terms & Conditions.
1. Booking and Confirmation
- No services, hotels, flights, sightseeing, transfers or other arrangements are considered confirmed until the required advance payment/deposit is received and written confirmation is issued by GJ Phoenix Travel and Leisure (OPC) Pvt Ltd.
- All quotations and rates are subject to availability and reconfirmation at the time of booking.
- The itinerary, hotels, sightseeing and tour inclusions are subject to availability at the time of confirmation.
- The Company reserves the right to substitute hotels, airlines, transportation, sightseeing, restaurants or other services with services of a similar category or standard due to operational requirements, availability or circumstances beyond its control.
2. Prices and Quotations
- All quoted prices are based on prevailing airfares, hotel rates, transportation costs, taxes, exchange rates and supplier charges at the time the quotation is prepared.
- Any fluctuation in exchange rates between the quotation date and final payment date may result in revision of the package cost.
- Any increase in fuel surcharges, airport taxes, government levies or supplier charges imposed after the quotation date shall be borne by the passenger.
- Prices are subject to change until the booking has been confirmed and the applicable payment received.
3. Payment Terms for Group Departures
- 25% non-refundable booking deposit – at confirmation.
- 50% – 90 days before departure.
- Balance 25% – 45 days before departure.
- Failure to make payments by the specified due dates may result in automatic cancellation of the booking and applicable cancellation charges.
4. Airfare and Airline Policy
- Airfares quoted are tentative and subject to change without prior notice until tickets are issued.
- Airline fares are dynamic and may vary depending on seat availability, demand, fare class, airline policies, fuel surcharges, taxes and currency fluctuations.
- For group bookings, airfares are not guaranteed until the group PNR is created and the required non-refundable deposit/payment is made according to the airline's terms.
- Any increase in airfare, taxes, surcharges or airline-imposed charges before ticket issuance shall be borne by the passenger.
- Passengers are requested to verify baggage allowance, meal inclusions, cabin baggage, check-in baggage and airline-specific services before confirming their booking.
- Seat selection may be chargeable and is subject to the respective airline's policy.
- Preferred seating, extra legroom seats and advance seat selection will be charged additionally unless specifically included in the package.
- GJ Phoenix Travel and Leisure (OPC) Pvt Ltd shall not be responsible for schedule changes, cancellations, route changes, baggage policy changes, seat allocation changes or other operational decisions made by an airline.
- All airline bookings are governed by the respective airline's fare rules, cancellation policy, refund policy and terms and conditions.
5. Hotel Accommodation
- Standard hotel check-in time is generally between 14:00 hrs and 15:00 hrs.
- Standard check-out time is generally between 10:00 hrs and 12:00 hrs.
- Actual check-in and check-out times are subject to the respective hotel's policy.
- Early check-in and late check-out are not guaranteed and are subject to availability. Additional charges may apply.
- Guests arriving early are advised to consider booking an additional night to ensure immediate room availability.
- Hotel star ratings are based on local classification standards of the respective country and may differ from Indian hotel classification standards.
- Twin, double, triple and adjoining rooms are subject to hotel availability.
- Room allocation is solely at the discretion of the hotel.
6. Itinerary and Sightseeing
- The itinerary and inclusions are subject to operational feasibility, weather conditions, local regulations and supplier policies.
- The sequence of sightseeing, hotels, flights, meals or tour arrangements may be altered due to operational requirements, weather conditions, airline schedules or local circumstances without affecting the overall inclusions of the tour.
- Entrance fees for optional sightseeing, attractions and activities are excluded unless specifically stated under Package Includes.
- Optional tours and activities are operated by independent local suppliers.
7. Visa and Entry Formalities
- Visa approval is solely at the discretion of the respective Embassy/Consulate.
- Visa fees, service charges and processing fees are non-refundable even in the event of visa rejection.
- Visa regulations, immigration requirements, health declarations, digital arrival cards, pre-arrival registrations and entry requirements may change without notice.
- Passengers are advised to independently verify the latest applicable requirements before travel.
8. Passport and Travel Documents
- Passports must generally have a minimum validity of six months from the date of return travel, subject to destination-specific requirements.
- Passengers are solely responsible for ensuring their passports, visas, vaccination certificates and other travel documents are valid and comply with the requirements of all countries being visited.
- The Company shall not be liable for denied boarding, deportation or refusal of entry resulting from incomplete, inaccurate or invalid travel documentation.
9. Health Requirements
- Passengers are responsible for complying with all applicable health, vaccination and immigration requirements of the countries visited.
- Passengers should ensure that they are medically fit to undertake the proposed journey and activities.
10. Adventure Activities and Liability Disclaimer
If any adventure activity, water sport, recreational activity, trekking, hiking, safari, amusement ride or similar activity is included or independently selected during the tour, passengers must strictly follow all safety instructions, guidelines and regulations given by activity operators, local authorities, guides and venue management.
- Participation in such activities is entirely at the passenger's own risk.
- Passengers are responsible for assessing their own physical fitness, health condition and suitability before participating.
- GJ Phoenix Travel and Leisure (OPC) Pvt Ltd acts only as a facilitator for such activities.
- The Company shall not be liable for accident, injury, illness, disability, loss of belongings, damage, death or other unforeseen incidents arising directly or indirectly from participation in such activities.
- Passengers are strongly advised to obtain adequate travel and medical insurance before travelling.
11. Transportation and Coach Seating
- Coach seating may be allocated on a rotational basis unless otherwise specified.
- Transportation schedules are subject to traffic, weather, operational requirements and local conditions.
- Vehicles may be substituted with equivalent vehicles depending on availability and operational circumstances.
12. Baggage
- Passengers are responsible for their own personal belongings and baggage.
- GJ Phoenix Travel and Leisure (OPC) Pvt Ltd shall not be responsible for delayed, damaged or lost baggage.
- Claims concerning airline baggage must be made directly with the airline or relevant carrier.
13. Personal Expenses
Tips, porterage, beverages, laundry, telephone charges, personal expenses and any service not specifically mentioned under "Package Includes" are excluded from the package price.
14. Minimum Passenger Requirement
Certain group tours will operate subject to achieving the minimum number of passengers required for the departure.
If the minimum number is not achieved, the Company may modify, postpone, combine or cancel the departure subject to the applicable booking conditions.
15. Unused Services
No refund shall be provided for meals, sightseeing, transfers, accommodation, entrance tickets or other travel services that are not utilised by the passenger during the tour.
16. Passenger Behaviour
Passengers are expected to conduct themselves responsibly throughout the tour.
The Company reserves the right to refuse continuation of the tour to any passenger whose behaviour is considered disruptive, dangerous, abusive or unsafe, without any refund.
17. Force Majeure
GJ Phoenix Travel and Leisure (OPC) Pvt Ltd shall not be held liable for any delay, cancellation, modification, loss, damage or additional expense arising from circumstances beyond its reasonable control.
Such circumstances may include, but are not limited to:
- Natural disasters.
- Adverse weather conditions.
- Floods, earthquakes and landslides.
- Pandemics or epidemics.
- Government restrictions or regulations.
- Political unrest.
- War or civil disturbances.
- Terrorism.
- Strikes.
- Airline operational issues.
- Other unforeseen events beyond the Company's reasonable control.
18. Role of GJ Phoenix Travel and Leisure
GJ Phoenix Travel and Leisure (OPC) Pvt Ltd acts as an intermediary between passengers and independent service providers such as airlines, hotels, transport operators, DMCs, tour operators and other suppliers.
The Company shall not be held responsible for delays, cancellations, losses, injuries, natural calamities, political disturbances or circumstances arising from the actions or omissions of independent service providers or events beyond the Company's control.
19. Photographs and Promotional Material
Photographs used on the website, brochures and promotional materials are for illustrative purposes only. Actual hotels, rooms, vehicles, sightseeing locations and services may vary depending on availability and operational requirements.
20. Travel Insurance
Passengers are strongly advised to obtain comprehensive travel insurance covering medical emergencies, trip cancellation, baggage loss, personal accident and travel disruption.
21. Cancellation and Refunds
All cancellations, amendments and refunds are subject to our Cancellation & Refund Policy and the applicable terms and conditions of airlines, hotels, DMCs, tour operators and other service providers.
22. Jurisdiction
Any dispute arising out of these booking terms shall be subject to the exclusive jurisdiction of the courts in Chennai, Tamil Nadu, India.
23. Acceptance of Terms
By making a booking, paying a booking deposit or making any other payment towards a travel arrangement, the passenger/client confirms that they have read, understood and accepted these Terms & Conditions.
