The following Cancellation & Refund Policy applies to bookings made through GJ Phoenix Travel and Leisure (OPC) Pvt Ltd. Cancellation charges and refund eligibility depend upon the type of service booked and the policies of the respective airline, hotel, DMC, tour operator, transport provider or other service provider.
1. General Cancellation Policy
- All cancellation requests should be communicated to GJ Phoenix Travel and Leisure (OPC) Pvt Ltd in writing.
- The date and time at which the cancellation request is received by the Company will be considered for determining applicable cancellation charges.
- Cancellation charges imposed by airlines, hotels, DMCs and other service providers will be applicable.
- Any applicable service charges or administrative charges may also be deducted from the refund.
- Certain bookings may be completely non-refundable after confirmation.
2. Group Departure Payment Terms
- 25% non-refundable booking deposit – at confirmation.
- 50% – 90 days before departure.
- Balance 25% – 45 days before departure.
- Failure to make payments by the specified due dates may result in automatic cancellation of the booking and applicable cancellation charges.
3. Airline Tickets
- Airline tickets are subject to the fare rules and cancellation policies of the respective airline.
- Promotional, group, low-cost carrier (LCC) and special fare tickets may be non-refundable and non-changeable.
- Once tickets have been issued, cancellation, rebooking, date changes, route changes, name corrections or other amendments will be governed by the respective airline's fare rules.
- Any refund due will be processed only after the refund has been received from the airline.
- Airline cancellation charges, service fees, convenience fees and applicable taxes or charges will be deducted.
- Airline fares may be completely non-refundable depending on the fare category selected.
4. Hotel Accommodation
- Hotel cancellation charges will apply according to the hotel's cancellation policy prevailing at the time of booking confirmation.
- During peak periods, exhibitions, conventions, festivals, public holidays and special events, hotel bookings may be completely non-refundable.
- No refund will be provided for no-shows.
- No refund will be provided for late arrivals.
- No refund will be provided for early departures.
- No refund will be provided for unused accommodation or other confirmed hotel services.
5. Tours, Sightseeing and Excursions
- Cancellation charges for sightseeing tours, transfers, attraction tickets, cruises and excursions will be based on the cancellation policy of the respective service provider.
- Once confirmed, certain tours, tickets and services may be partially refundable or completely non-refundable.
- Admission tickets, attraction tickets, event tickets and certain pre-booked activities may be non-refundable once issued.
6. Tour Guides, Escorts and Transportation
- Charges relating to tour guides, escorts, coaches, private vehicles and transportation services may be non-refundable once confirmed.
- Any cancellation charges imposed by the local operator, DMC, transportation company or guide service will be borne by the client/passenger.
7. Visa Fees
- Visa fees are strictly non-refundable.
- VFS or visa application centre charges are non-refundable.
- Courier charges are non-refundable.
- Visa processing and service charges are non-refundable.
- These charges remain non-refundable irrespective of visa approval, rejection, delay or withdrawal of the visa application.
8. Amendment / Rescheduling Charges
Any request for amendment or rescheduling will be subject to availability and the conditions of the respective service providers.
Changes may include:
- Change of passenger name.
- Change of travel date.
- Change of flight.
- Change of hotel.
- Change of destination.
- Modification of itinerary.
- Rescheduling of tours or travel services.
Additional charges imposed by airlines, hotels, DMCs or other service providers will be payable by the passenger. Administrative or service charges may also apply.
9. Force Majeure
No refund or compensation shall be payable by GJ Phoenix Travel and Leisure (OPC) Pvt Ltd for cancellations, delays, interruptions or changes arising from circumstances beyond the Company's reasonable control.
Such circumstances may include, but are not limited to:
- Natural disasters.
- Adverse weather conditions.
- Floods.
- Earthquakes.
- Landslides.
- Political unrest.
- War.
- Terrorism.
- Pandemics or epidemics.
- Government restrictions.
- Airline operational issues.
- Strikes.
- Other circumstances beyond the reasonable control of the Company.
10. Refund Processing
- Refunds, if applicable, will be processed only after the Company receives the relevant refund from the airline, hotel, DMC, tour operator or other service provider.
- The amount refunded will be subject to deductions for cancellation penalties, supplier charges and applicable service/administrative charges.
- Where applicable, refunds may take approximately 30–90 working days after receipt and processing by the respective supplier.
- Actual refund processing time may differ depending on the airline, hotel, DMC, payment provider, bank or other service provider involved.
11. Unutilized Services
No refunds will be granted for any unutilized, missed, partially utilized or voluntarily cancelled service during the course of travel.
This includes, but is not limited to:
- Hotel accommodation.
- Meals.
- Sightseeing.
- Transfers.
- Transportation.
- Entrance tickets.
- Excursions.
- Activities.
- Other services included within the confirmed itinerary.
12. No-Show Policy
Failure to arrive for a confirmed flight, hotel, transfer, tour, sightseeing service or other travel arrangement may be considered a no-show.
No-show bookings are generally non-refundable and will be governed by the respective service provider's terms and conditions.
13. Early Departure or Voluntary Changes
No refund will be provided where a passenger voluntarily shortens, interrupts or changes a journey after commencement unless the relevant service provider specifically authorises a refund.
14. Cancellation by Service Providers
Where an airline, hotel, DMC, tour operator or another supplier cancels a confirmed service, any refund will be subject to the refund or alternative arrangement provided by that supplier.
GJ Phoenix Travel and Leisure (OPC) Pvt Ltd acts as an intermediary and cannot guarantee that a supplier will provide a cash refund where the supplier offers an alternative service, travel credit, rescheduling option or voucher.
15. Travel Insurance
Passengers are strongly advised to obtain comprehensive travel insurance covering:
- Trip cancellation.
- Medical emergencies.
- Accidents.
- Baggage loss.
- Flight disruptions.
- Travel delays.
- Other unforeseen circumstances.
16. Refund Method
Where possible, approved refunds will generally be returned through the original payment method or another method mutually agreed between the Company and the customer, subject to banking and payment-provider requirements.

18. Acceptance of Policy
By confirming a booking or making any payment towards a travel service, the passenger/client acknowledges and accepts this Cancellation & Refund Policy along with the Company's Terms & Conditions.
